Description

The Translation Manager oversees the planning, execution, and continuous improvement of system-wide translation services to ensure accurate, timely, and compliant access to translated materials for patients, staff, and providers.

This role manages the full lifecycle of translation projects, including request intake, resource coordination, quality assurance, vendor management, budgeting, and regulatory compliance with federal, state, and accreditation requirements. The Manager leads program strategy, monitors key performance metrics, and supports patient-centered communication and health equity initiatives.

Working collaboratively with internal stakeholders, vendors, and leadership, the Translation Manager enhances service quality, operational efficiency, and regulatory compliance across the organization.

RESPONSIBILITIES

Translation Project Management

  • Manage the full lifecycle of translation projects in a fast-paced environment, including planning, workflow development, and monitoring progress through each phase.

  • Coordinate intake, tracking, and completion of system-wide document translation requests.

  • Organize and lead project teams, allocating internal and external translation resources based on project scope, timelines, and team availability.

  • Adapt project plans to changes in timelines, priorities, or scope.

  • Maintain detailed logs and reporting of translation projects and project status.

  • Develop reports to monitor internal and external translation resource utilization.

  • Review, proofread, and edit translated content using translation software to ensure accuracy, consistency, and alignment with organizational branding and communication policies.

  • Update and maintain translation-related policies, procedures, and operational workflows.

Compliance and Quality Assurance

  • Develop, implement, and enforce departmental policies to ensure compliance with federal, state, and accreditation standards.

  • Lead quality assurance initiatives, investigate service issues, and implement corrective action plans to improve translation quality and service delivery.

  • Monitor compliance with language access regulations and organizational requirements.

  • Track and analyze key performance metrics including:

    • Translation service requests

    • Fulfillment rates

    • Vendor utilization

    • Patient satisfaction metrics

    • Documentation accuracy in Epic

Patient-Centered Communication and Best Practices

  • Promote a culture of patient-centered communication and equitable access to translation services for:

    • Limited English Proficiency (LEP) patients

    • Blind and low vision patients

    • Deaf and Hard of Hearing patients

  • Collaborate with Marketing and Patient Experience teams to support accessible patient education materials and outreach.

  • Maintain awareness of national trends and best practices in language access and translation services.

  • Support strategic planning and operational goals for language access services aligned with system priorities.

Program Monitoring and Continuous Improvement

  • Respond to service concerns and escalate complex issues to leadership as appropriate.

  • Identify opportunities for cost savings and process optimization while maintaining service quality.

  • Participate in system-wide quality initiatives, surveys, and compliance reviews.

  • Analyze patient language documentation and service data to identify trends, service gaps, and improvement opportunities.

Leadership and Program Management

  • Participate in recruitment, interviewing, selection, productivity management, performance evaluations, and disciplinary processes in partnership with Human Resources.

  • Facilitate departmental staff meetings to communicate policy updates, share performance data, and gather team feedback.

  • Maintain and update language access policies and operational procedures.

Administrative and Program Development

  • Oversee financial management of translation services, including expense monitoring and billing submissions to the business office.

  • Support development and maintenance of EMITS website content and patient-facing translation resources.

  • Maintain collaborative relationships with staff, providers, vendors, contractors, and leadership to address service needs and operational challenges.

  • Develop and maintain standard operating procedures (SOPs), policies, and training materials for translation services.

  • Monitor program development initiatives designed to improve efficiency, service quality, and compliance.

  • Ensure staff receive training on translation compliance, protocols, and organizational policies.

Additional duties may be assigned by leadership.

MINIMUM QUALIFICATIONS

Education

Bachelor’s degree in one of the following or a closely related field:

  • Translation

  • Linguistics

  • Applied Linguistics

  • Foreign Languages

Relevant experience may be considered in lieu of formal education.

Experience

  • 2–3 years of professional translation experience

  • 1–2 years of healthcare, medical, or regulated-industry translation experience

Certification and Language Requirements

  • Fluency in English and at least one additional language

  • Completion of a qualified medical interpreter training program (e.g., Bridging the Gap)

  • National certification through the American Translators Association (ATA) preferred

Knowledge, Skills, and Abilities (Required)

  • Strong knowledge of Title VI, Section 1557, ADA, CLAS Standards, and Joint Commission language access requirements.

  • Knowledge of the National Code of Ethics and interpreter standards of practice.

  • Strong organizational, interpersonal, and customer service skills.

  • Ability to manage translation operations, staff performance, and vendor relationships in a complex healthcare environment.

  • Proficiency with systems and tools including:

    • UKG/Kronos scheduling platform

    • Epic electronic medical record system

    • Microsoft Office Suite

    • Reporting and analytics tools

  • Strong capabilities in project management, writing, translation, editing, and post-editing.

Preferred Qualifications

Education

Master’s degree in:

  • Business Administration

  • Healthcare Administration

  • Interpreting Studies

  • Public Health

  • Or a related field

Experience

  • Experience within a large, multi-site healthcare system

  • Demonstrated experience in staff leadership, program development, project management, and language access operations

Preferred Language

  • Spanish proficiency preferred
