Description

The Senior Project Coordinator partners with leadership to plan, coordinate, and support the implementation of large-scale projects impacting multiple Emory Healthcare departments. Working under the direction of the Department Leader and/or Project Manager(s), this role assists with project planning, scheduling, and execution while ensuring alignment with organizational priorities and project goals. Projects typically include a significant technical component and require coordination across departments such as Patient Financial Services, Patient Access, Finance, and Information Technology/Services.

The Senior Project Coordinator may independently manage smaller-scale initiatives where revenue or resource impact is not enterprise-wide and minimal supervision is required. The role requires the application of established project management methodologies to develop project scope documents, work plans, status reports, and related project materials. This position also supports operational analysis, process improvement initiatives, and cross-functional collaboration to drive project success.

RESPONSIBILITIES:

Project Planning & Coordination

  • Collaborate with leadership to plan, coordinate, and support the implementation of large-scale departmental projects.

  • Assist with project scheduling, planning, and execution under the direction of the Department Leader and/or Project Manager(s).

  • Develop and maintain project scope documents, project plans, timelines, and status reports.

  • Coordinate cross-functional project activities involving departments such as Patient Financial Services, Patient Access, Finance, and Information Technology.

  • Independently manage smaller-scale projects where enterprise-wide impact is limited and minimal supervision is required.

Meeting Facilitation & Stakeholder Engagement

  • Plan, organize, schedule, and facilitate meetings across multiple departments and stakeholder groups.

  • Lead meetings with diverse stakeholders to define project requirements, identify deliverables and milestones, and resolve project-related challenges.

  • Facilitate discussions related to project decision-making, deliverables, timelines, and operational constraints.

Process Analysis & Improvement

  • Participate in the analysis and documentation of organizational systems and processes.

  • Identify opportunities for operational improvement and assist with implementing process enhancements.

  • Facilitate and guide redesign teams and process improvement initiatives.

Project Team Coordination

  • Coordinate the work of small project teams or committees to achieve project goals and associated milestones.

  • Support larger-scale projects by managing components of the project under leadership supervision.

  • Prepare and coordinate detailed work plans for personal assignments and team activities.

Reporting & Documentation

  • Prepare, review, and distribute project documentation including status updates, reports, and technical materials.

  • Inform leadership of project progress and status on an ongoing basis.

  • Design, prepare, and generate accurate operational and project reports as needed.

  • Collaborate with departmental resources to ensure tasks are completed on schedule and that current and future state documentation is submitted for technical specifications and implementation.

Professional Development

  • Work with leadership to develop and implement a professional development plan.

  • Participate in professional activities and industry organizations to maintain knowledge of current trends, best practices, and emerging developments in project management and healthcare operations.

MINIMUM QUALIFICATIONS:

  • High School Diploma with seven (7) years of related experience; OR

  • Bachelor’s Degree with two (2) years of related experience; OR

  • Any equivalent combination of education and experience; OR

  • Successful completion of The Emory Clinic Operations Development Program (ODP).

  • Demonstrated success utilizing project management methodologies and tools for small-scale projects and/or process improvement initiatives.

Preferred Qualifications

  • Experience working in a healthcare environment.

  • Demonstrated interest in project management and leadership development.

  • Project-related certifications such as Lean, Six Sigma, PMP, or similar.

  • Experience leading technical or cross-functional projects.

PHYSICAL REQUIREMENTS (Light): 11-20 lbs , 0-33% of the workday (occasionally); 01-10 lbs 34-66% of the workday (frequently) Negligible 67-100% of the workday (constantly), Lifting 20 lbs max, Carrying of objects up to 10 lbs, Occasional to frequent standing & walking; Occasional to frequent sitting; close eye work (computers, typing, reading, writing); Physical demands may vary depending on assigned work area and work tasks.

ENVIRONMENTAL FACTORS: Factors affecting environment conditions may vary depending on the assigned work environmental exposures include, but are not limited to: Blood-borne pathogen exposure. Bio-hazardous waste; Chemicals/gases/fumes/vapors, Communicable diseases, Electrical shock, Floor Surfaces, Hot/Cold Temperatures, Indoor/Outdoor conditions, Latex, Lighting, Patient care/handling injuries, Radiation, Shift work, Travel may be required. Use of personal protective equipment, including respirators, Environmental conditions may vary depending on assigned work area and work tasks.
