Description

RESPONSIBILITIES:

  • Plans and schedules work priorities in accordance with program goals and objectives and deadlines.
  • Advise or direct designated personnel in the department or section; make work assignments and review work for accuracy and completeness; recommends various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules.
  • Interprets new directives, policies and regulations and informs appropriate personnel of changes; makes decisions on specific operating problems and issues instructions in the name of the department or section head.
  • Complies with and participates in following standards established by the Emory Clinic and regulatory agencies including but not limited to JCAH, OSHA, and the state of Georgia.
  • Screens and routes mail and documents; determine which to respond to or which to bring to supervisor's attention based on content of communications and broad knowledge of departmental programs and activities.
  • Independently composes letters and statements requiring interpretation and application of departmental policies, procedures, rules and regulations.
  • Takes and transcribes dictation, types letters, reports and records ensuring grammatical accuracy, conformance with general policy and factual correctness.
  • Prepares interdepartmental memoranda explaining new or revised policies and procedures as necessary.
  • Organizes and maintains sectional or departmental files and records, reports and correspondence required for reference; maintains up-to-date management and procedural manuals, directives and related records.
  • Schedules and coordinates arrangements for seminars and conferences and establishes appointments, meetings and speaking engagements for supervisor; attends meetings to take minutes, provide information and serve as a resource person; interviews callers; answer questions concerning departmental or sectional activities and transmits instructions and/or information to and from staff members.
  • Advises supervisor on the status of current activities, additional or expanded program requirements; make recommendations for solution to problems identified.
  • Handles patient messages to and from the physicians, according to department/section guidelines.
  • Under physician supervision, may coordinate/order various lab procedures in accordance with section guidelines.
  • Reviews patient charts for completion, assuring all documents are in the appropriate location, signed, dated and have patient's medical record number.
  • May provide information, instructions and education to patients on procedures and programs, as directed.
  • Develops and implements complex information systems in support of program activities; documents procedures and processes and evaluates program results.
  • Assists in preparing complex reports and proposals requiring source identification, compilation, analysis and evaluation of data. Distributes reports and information as required.
  • Reviews reports received for supervisor; checks and compares with source documents and brings significant items, changes, errors or omissions to the attention of the supervisor.
  • Assists in the preparation of complex and diversified departmental or sectional budgets; makes recommendations and projections based on knowledge of program activities and departmental operations.
  • Monitors, verifies and reconciles expenditure of budgeted program accounts based on instructions and established procedure.
  • Maintains liaison with appropriate personnel, Emory Departments and outside sources to obtain and provide pertinent information and to answer inquiries concerning program activities.
  • Serves as liaison with administrative personnel and external agencies concerning Clinic policies and procedures, budgetary preparation and control.
  • Maintains and monitors environment for compliance with safety/fire regulations.
  • Maintains sterilized instruments per protocol with documentation.
  • Maintains annual safety certification as required. Performs other related duties as required


MINIMUM QUALIFICATIONS:

  • Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related field.
  • Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications and budgetary/accounting activities.
