Christiana Care is looking for a full-time Senior Executive Assistant to provide executive administrative support to the President of the campus, Chief Medical Officer, and Chief Nursing Officer senior, maximizing their effectiveness and efficiency; supports executive with strategic system-wide functions/programs.

Primary point of contact for internal and external interactions. Position requires an independent thinker and leader who has the ability to function effectively in a rapidly growing and changing environment. Works as a team member with other staff to provide effective coverages for all executives within the suite.

Principal duties and responsibilities:

Communicates directly, and on behalf of senior executive, on matters related to executive’s programmatic initiatives.

Provides a link for smooth communication between the executive office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.

Anticipates executive's needs and provides assistance to ensure executive is prepared for daily activities. Assures planning and coordination of executive’s complex calendar of events; schedules appointments, speaking engagements, conferences, and others, and prepares detailed itineraries, complete with travel accommodations, etc.

Provides administrative support to executive manager, including attending and taking minutes at meetings, preparing agenda, typing, and drafting correspondence, scheduling meetings, and meeting rooms, maintaining up to date filing system, screening incoming calls, and taking accurate telephone messages, preparing PowerPoint presentations and Excel Spreadsheets.

Prepares all travel arrangements and compiles reimbursement documentation, completes corporate credit card reconciliations.

Researches and completes special projects/assignments as required. May be called upon to support various system wide strategic initiatives.

Researches, prioritizes, and follows up on incoming issues; determines appropriate course of action, referral, or response.

Maintains supply inventory, ordering and updating as needed. Ensures a well-organized, clean and smoothly functioning administration suite environment through proactive support and attention to detail.

Assists with budget preparation. Run reports in Workday for capital and operating budgets.

Maintains confidentiality at all times.

Performs other related duties as required

Hours: Day Shift

Education and experience requirements:

  • High school diploma or equivalent required.
  • Completion of a business college program in Business Administration, Office Administration, Liberal Arts, Human Services, or a related field, preferred.
  • Five years administrative experience, preferably supporting a senior level executive.

Annual Compensation Range $73,611.20 - $117,790.40This pay rate/range represents ChristianaCare’s good faith and reasonable estimate of compensation at the time of posting. The actual salary within this range offered to a successful candidate will depend on individual factors including without limitation skills, relevant experience, and qualifications as they relate to specific job requirements.
